Old Business:

Survey 

• A survey timeline to send to members: completed, ready for email and timeline; announce at member meeting and send next day; Barbara will send email. Can send a full list, not just members. 

• A 500 pesos gift card to Art Connection will be raffled for members who complete the survey. Anne picked an official gift card. The gift card is only for materials, not completed art. The gift card also shows a 10% discount for supplies. 

• Eric Raygoza from the Art Connection renewed his membership with Anne. All of his information is still current for him.

• Added membership status and previous membership status to the survey and follow up with a question asking, if not active now, why not?

• Jeff has labels for business cards. Anne sent Jeff a request to bring the card sheets to the Membership meeting on March 2nd

Drop Box for Photos - How is it working: People are not using this option yet. Claudia will create a folder in Google Drive specifying what is in the folder to make it easier.

There was no charge for initial meeting. We are looking at filing in a way that we would not have to pay taxes. However, we will still have to pay an accountant for registration each month. Natario #1 is currently checking our bylaws to ensure they are in alignment with requirements.

Membership Incentives - Ideas

• Price difference for members or non-members 

• Enrichment events discounts & priority registration. 

• Community business discount (e.g. Art Connection) - How can we show Art Connection membership status. It was suggested that we use the welcome membership confirmation  email as proof of membership; We could also create a membership card that gets attached to that email. Barbara & Vonn will work to tether in formatting the cards via mail merge.

• Early entrance to the Codger Show for members

• Member only events

Focus: The reason for membership is not about making money it is more about having community connectivity. If additional funds are needed for a special project, we can address that outside of membership.

Barbara requests Vonn’s assistance in utilizing mail merge to personalize membership communications. 

Artful Codgers - Event review google doc link - please look at it and add any further input to add. 

Question about Artful Dodgers since there were only 2 participants. In future we may not include an age requirement for Codgers (TBD). Older people in the community like the idea of having an event for older people but we don’t need to specify age.These are examples to add to the review so that we have the data available at the next years event.

NEW BUSINESS:

Speaker - Micheal McManmon - Is requesting a ADHOC committee for a Dog Fashion show. 

We are voting on whether to move forward with the ADHOC committee.

• Need date

• Location - LCS would be best, in front gate, chairs winding through LCS. 

• Need help with posters and social media (approve content first). 

• Then someone put posters in pet stores, adoption groups. 

• Monthly meeting between now and Fall to plan. 

• Update board monthly. 

• Fundraiser with a portion going to adoption groups. - Entry fee for people and dogs. 

• Solicit Stores for prizes and to have a booth at the event.  - Categories for prizes, Michael can create a flyer with more information showing what donors get for their participation. 

• Need volunteers for the day of the event. 

Benefits

• It would give ALC a boost in visibility.

• Pair up with other organizations (i.e. Gay Alliance).

• Boost ALC viability in the community

Questions/Observations

• How is the show related to art? I was determined textiles and fashion are an art form and that other animal art could be displayed during the show.

• Is it a good fit for ALC and does Micheal need ALC to support the event? 

• A lot of work. There needs to be several people who are willing to volunteer. Will there be enough volunteers?  This can not fall on just the board members and if board members participate, they are volunteering not as board members but as general members. 

ADHOC Topics if approved

• Could be a good recruitment event. 

• MC that could be promoting ALC and partner organizations. 

• Could do a category for pet portraits that would help link it to ALC.

Requirements to move forward 

• Micheal will present the Doggie Fashion show at the March 2nd Membership Meeting to get a gauge of level of interest in volunteering.

•  Michael – need to come forward with at least 5 volunteers, including him to activate the board of directors decision to support the ADHOC committee or not.

VOTE results: The Board of Directors gave unanimous approval upon stipulation that Micheal shows 5 active volunteers for ADHOC Committee. If Micheal can provide the volunteer list, at the next board meeting Michael will need to present what he needs from the board. 

Speaker - Kathy Karancz - Is requesting Board approval for an art expo. This would mimic the past organization event where artists would enter a designated size of art. Kathy was asked to create an outline for the board to review.

There was general questions from the board and it was determined while the board supports the idea, however, they need more information.  The board will create a general checklist for ADHOC considerations and send a copy to Kathy.  

Treasury Report: Gretchen Johnston will be reported at the membership meeting. 

January 2025

• Codgers - $38,000 pesos and expenses were $10,880 (mostly reception and printing). Profit – $19,200 pesos.

• Money from the bar and leis (donation) went to the Cultural Center + 30% from sale of art that was required.

• There were no accounting numbers provided from previous years to use as a baseline.

Event: Artists of Lake Chapala Volunteer Appreciation Reception

• Location: Philippa & Morgan Love home in San Antonio

• Number of people: 30 is our baseline #

• Food: A selection of four (4) appetizers

• 1 bid received (Anne tasted) 3,000 pesos for 30 people drinks not included

• Beverages by ALC - Pitchers: lemonade, sangría, margaritas, water

• Hold hiring the caterer for another week to get one more bid. 

• The budget must be under 5,000 ps per bylaws without a vote to use the $.

• We have 2 large pop ups offered.

Designate “greeters” to connect with members and newcomers at meetings and events. - This was not covered in the meeting

Art Market: Elena Valdivia. Things are going smoothly and well organized.

How is the bartender revenue being handled? Elena is running the bar as a vendor like the taco and coffee vendor. She pays the bartender wages and bar stock. Elenea will set up 2 tables with an umbrella and a few chairs in other areas so people can have more sitting options.

Kathy Cody volunteered for social media with Jennie Bergerson. Anne will confirm with Jennie before the position's status is announced Monday at the membership meeting.

Asuntos Pendientes:

Encuesta

• Un cronograma de encuesta para enviar a los miembros: completado, listo para correo electrónico y cronograma; anunciar en la reunión de miembros y enviar al día siguiente; Barbara enviará el correo electrónico. Se puede enviar a una lista completa, no solo a los miembros.

• Se rifará una tarjeta de regalo de 500 pesos para Art Connection entre los miembros que completen la encuesta. Anne eligió una tarjeta de regalo oficial. La tarjeta de regalo es solo para materiales, no para obras de arte terminadas. La tarjeta de regalo también muestra un 10% de descuento en suministros.

• Eric Raygoza de Art Connection renovó su membresía con Anne. Toda su información sigue siendo vigente para él.

• Se agregó el estado de membresía y el estado de membresía anterior a la encuesta y se incluyó una pregunta de seguimiento: si no está activo ahora, ¿por qué no?

• Tarjetas de Presentación Jeff tiene etiquetas para tarjetas de presentación. Anne envió a Jeff una solicitud para traer las hojas de tarjetas a la reunión de Membresía el 2 de marzo.

Caja de Depósito para Fotos – ¿Cómo está funcionando? La gente aún no está usando esta opción. Claudia creará una carpeta en Google Drive especificando lo que contiene la carpeta para facilitar su uso.

No hubo cargo por la reunión inicial. Estamos considerando presentar de manera que no tengamos que pagar impuestos. Sin embargo, aún tendremos que pagar a un contador por el registro mensual. El Notario #1 está revisando actualmente nuestros estatutos para asegurar que estén alineados con los requisitos.

Incentivos de Membresía – Ideas

• Diferencia de precio para miembros o no miembros

• Descuentos en eventos de enriquecimiento y registro prioritario.

• Descuento en negocios de la comunidad (ej. Art Connection) – ¿Cómo podemos mostrar el estado de membresía en Art Connection? Se sugirió usar el correo electrónico de confirmación de bienvenida como prueba de membresía; también podríamos crear una tarjeta de membresía que se adjunte a ese correo. Barbara y Vonn trabajarán en vincular el formato de las tarjetas mediante mail merge.

• Entrada anticipada al Codger Show para miembros

• Eventos exclusivos para miembros

Enfoque: La razón de la membresía no es ganar dinero, sino más bien tener conectividad comunitaria. Si se necesitan fondos adicionales para un proyecto especial, podemos abordarlo fuera de la membresía.

Artful Codgers – Revisión del evento enlace en Google Doc – por favor revísenlo y agreguen cualquier aporte adicional.

 Pregunta sobre Artful Dodgers ya que solo hubo 2 participantes. En el futuro puede que no incluyamos un requisito de edad para Codgers (por determinar). A las personas mayores de la comunidad les gusta la idea de tener un evento para personas mayores, pero no necesitamos especificar edad. Estos son ejemplos para añadir a la revisión de manera que tengamos los datos disponibles para el evento del próximo año.

NUEVOS ASUNTOS:

Ponente – Micheal McManmon – Está solicitando un comité ADHOC para un desfile de moda canina.

Estamos votando si avanzar con el comité ADHOC.

• Necesitamos fecha

• Ubicación – LCS sería lo mejor, en la puerta principal, sillas distribuidas a lo largo de LCS.

• Se necesita ayuda con carteles y redes sociales (aprobar contenido primero).

• Luego alguien colocará carteles en tiendas de mascotas y grupos de adopción.

• Reunión mensual entre ahora y el otoño para planear.

• Actualizar a la junta mensualmente.

• Recaudación de fondos con una parte destinada a grupos de adopción – cuota de entrada para personas y perros.

• Solicitar a las tiendas premios y tener un puesto en el evento. – Categorías para premios; Michael puede crear un volante con más información mostrando lo que los donadores reciben por su participación.

• Se necesitan voluntarios para el día del evento.

Beneficios

• Daría a ALC un impulso en visibilidad.

• Asociarse con otras organizaciones (ej. Gay Alliance).

• Impulsar la viabilidad de ALC en la comunidad.

Preguntas/Observaciones

• ¿Cómo se relaciona el desfile con el arte? Se determinó que los textiles y la moda son una forma de arte y que se podría mostrar otro arte relacionado con animales durante el desfile.

• ¿Es una buena opción para ALC y necesita Micheal que ALC apoye el evento?

• Es mucho trabajo. Se necesitan varias personas dispuestas a ser voluntarias. ¿Habrá suficientes voluntarios? Esto no puede recaer solo en los miembros de la junta y si los miembros de la junta participan, lo hacen como voluntarios generales, no como miembros de la junta.

Temas ADHOC si se aprueba

• Podría ser un buen evento de reclutamiento.

• Un maestro de ceremonias que promueva ALC y organizaciones asociadas.

• Podría incluirse una categoría de retratos de mascotas que ayude a vincularlo con ALC.

Requisitos para avanzar

• Micheal presentará el desfile de moda canina en la reunión de membresía del 2 de marzo para medir el nivel de interés en ser voluntario.

• Michael – necesita presentar al menos 5 voluntarios, incluyéndose él, para activar la decisión de la junta directiva de apoyar o no el comité ADHOC.

Resultados de la votación: La Junta Directiva dio aprobación unánime con la estipulación de que Micheal muestre 5 voluntarios activos para el Comité ADHOC. Si Micheal puede proporcionar la lista de voluntarios, en la próxima reunión de la junta Michael deberá presentar lo que necesita de la junta.

Ponente – Kathy Karancz – Está solicitando aprobación de la Junta para una exposición de arte. Esto imitaría el evento de la organización anterior donde los artistas presentarían una obra de arte de tamaño designado. Se pidió a Kathy que creara un esquema para que la junta lo revise.

Hubo preguntas generales de la junta y se determinó que, aunque la junta apoya la idea, necesita más información. La junta creará una lista de verificación general para consideraciones ADHOC y enviará una copia a Kathy.

¿Cómo se está manejando el ingreso del bar?

Elena está administrando el bar como un proveedor, igual que el de tacos y café. Ella paga los salarios del cantinero y el abastecimiento del bar. Elena instalará 2 mesas con una sombrilla y algunas sillas en otras áreas para que la gente tenga más opciones para sentarse.

Kathy Cody se ofreció como voluntaria para redes sociales junto con Jennie Bergerson. Anne confirmará con Jennie antes de que se anuncie el estado de la posición el lunes en la reunión de membresía.
