Vonn shared that a mistake was made with the board meeting date this month. It should be the last Monday of the month.

July Member Meeting Request for Help

Our new member Yasniel Navarro has agreed to play live music at the July 6 meeting.  We have 1 challenge.  Yas and his wife have 1 car and she works as a trauma nurse in Gdl.  So he doesn't know if he will have use of his car and he can’t manage to bring his music gear on the bus.

We need someone who will:

1. Contact Yas ahead of time to introduce yourself.  He speaks excellent English.

2. Check in with Yas early Monday morning to find out if he needs transportation.

3. If he does, pick him up in Chapala and bring him and his gear to the meeting in plenty of time for him to get set up.

Elena has volunteered to contact him and provide assistance as needed. Jennie posted a video of him on the ALC facebook page.

Board Retreat

Kat gives us an overview of what to expect at the retreat July 15 - 16.

July 15th - 10 am Welcome + Drinks/Snacks; Centering Experience + Fun Activities to spark creativity; Lunch provided; Free Time (Pool or ???); Dinner at Tango; Evening Storytelling

July 16th - Breakfast included; Fun Activities; Lunch included; Future Planning + Show ‘n Tell (Each person will share their “art”); Closing Activity; End in time to go to 3rd Thursday Social

The only cost not covered for this retreat is the dinner at Tango. Some activities will be virtual so Anne can join us. Please confirm and/or ask questions by WhatsApp message to Kat. Thank you to Kat for her generosity.

Art Market

Elena to report on meeting w/ Miguel Angel.

Request from Feria de Maestros de Arte to sell raffle tickets near our Information table at the Sept and/or Oct Art Market.

Elena applied for September through December. For now prices, etc. are the same unless they hear something different back from Guadalajara. Also discussed the idea to do classes during the art market and they agreed to find us a space there. She reported that they appreciate working with us.

Anne asked about filling 2 positions, Demonstrations Coordinator and Volunteer Coordinator to ensure Elena has support. Elena says she will talk with Yoli as soon as possible. Vonn said that she and Elena are meeting with Yasniel tomorrow to discuss the Volunteer Coordinator position. Kat reports that he is very dependable and also excited about the position. 

Jennie talked with him briefly about helping with Instagram but has not heard back from him. Kat suggested he might be able to get things started with Instagram and TikTok before the art markets begin. Evan may have access to Instagram for us.

Project - Strut Your Mutt - Doggie Fashion Show

Claudia shared that the event is from 12 pm to 5 pm has some information about chairs and tents. She is waiting to find out the cost from Chapala and then she will be able to do a budget.  

Association Civil 

(Official status as an entity; burden is on the organization vs. individuals)

No Action has been taken on this item since our last board meeting as we’ve been sufficiently occupied with the leadership transition and the last art market of the season.  Stay tuned for future action.

• ALC “owners” need to be determined, and then personal documents need to be gathered to submit to the Notario. Identify three to serve in that capacity. Certified birth certificate from birthplace from Secretary of State, passport, and resident or citizen documents, and RFC #. Spouse also needs to provide same documentation. 

• We need to select a Notario 

To file with the government of Mexico 3 individuals have to be listed as the owners/officers of the organization. This requires certain documentation. It is simpler if someone is a Mexican citizen and/or does not have a legal spouse. Please contact Vonn if you are interested.

The reasons to do this include:protecting the organization and the individuals in it. It also allows us to open a bank account for the organization.

Vonn reports that some they and some on the board have met with 3 notarios to discuss the process.

NEW BUSINESS:

Meet Up

Gretchen reported that the last meetup was successful and enjoyable. The speaker ended up really enjoying the experience. She suggests not having the meetup the same week as the  third Thursday since having two events in one week can be difficult. Stephanie is working on the meetup being at the Art Show in San Juan Cosala. 

Treasurer’s Report 

Gretchen Johnston will report at the membership meeting. 

May 31, 2026 Final

Gretchen reports that there were no expenses this month and three new membership and one renewal this month. Gretchen reports that we have quite a few renewals coming up and hopefully they will renew at the July meeting. 

Barbara on vacation May 19 - June 28.  She has documented her responsibilities thoroughly.  Gretchen and Vonn have been covering. The numbers below come from Vonn.  

Vonn: “I’m not sure how many renewal notices Barbara sent out but I know that she did because I received one.”

***  In 2024, ALC did not solicit members from Feb.1 to July 1, so there will not be many renewals until July.

Vonn says she will be glad when Barbara returns because, ”Barbara does alot”

Anne reports no new activity with bylaws and encourages us to move forward on the Volunteer Coordinator position for this fall. Anne cautions us to be transparent and avoid making organizational decisions at a closed private retreat.

Solicitud de Ayuda Para La Reunión de Miembros de Julio

Nuestro nuevo miembro, Yasniel Navarro, ha aceptado tocar música en vivo en la reunión del 6 de julio. Tenemos un inconveniente: Yas y su esposa tienen un solo automóvil y ella trabaja como enfermera de traumatología en Guadalajara. Por lo tanto, él no sabe si dispondrá del vehículo y no puede transportar su equipo musical en autobús.

Necesitamos a alguien que:

• Contacte a Yas con antelación para presentarse. Él habla un inglés excelente.

• Se comunique con Yas temprano el lunes por la mañana para averiguar si necesita transporte.

• En caso afirmativo, lo recoja en Chapala y lo lleve a él y a su equipo a la reunión con suficiente antelación para que pueda instalarse.

Elena se ha ofrecido como voluntaria para contactarlo y brindarle asistencia según sea necesario. Jennie publicó un video de él en la página de Facebook de ALC.

Mercado de Arte

Elena informará sobre la reunión con Miguel Ángel.

Solicitud de la Feria de Maestros de Arte para vender boletos de rifa cerca de nuestra mesa de información durante el Mercado de Arte de septiembre y/u octubre.

Elena presentó la solicitud para el periodo de septiembre a diciembre. Por ahora, los precios y demás condiciones se mantienen iguales, a menos que reciban noticias distintas desde Guadalajara. También se habló de la idea de impartir clases durante el mercado de arte, y acordaron buscarnos un espacio allí. Ella comentó que valoran mucho trabajar con nosotros.

Anne preguntó sobre la cobertura de dos puestos —Coordinador de Demostraciones y Coordinador de Voluntarios— para asegurar que Elena cuente con apoyo. Elena dijo que hablará con Yoli lo antes posible. Vonn mencionó que ella y Elena se reunirán mañana con Yasniel para tratar el puesto de Coordinador de Voluntarios; Kat comenta que él es muy responsable y que está entusiasmado con el cargo.

Jennie habló brevemente con él sobre ayudar con Instagram, pero no ha vuelto a tener noticias suyas. Kat sugirió que él podría comenzar a gestionar Instagram y TikTok antes de que inicien los mercados de arte. Es posible que Evan tenga acceso a nuestra cuenta de Instagram.

No se han realizado gestiones sobre este asunto desde nuestra última reunión de la junta directiva, ya que hemos estado bastante ocupados con la transición de liderazgo y el último mercado de arte de la temporada. Estén atentos a futuras novedades.

• Es necesario determinar quiénes serán los "titulares" de la ALC y recopilar sus documentos personales para presentarlos ante el notario. Se deben identificar tres personas para desempeñar esta función. Se requieren: certificado de nacimiento certificado (emitido por la autoridad competente del lugar de nacimiento), pasaporte, documentos de residencia o ciudadanía y número de RFC. El cónyuge también debe proporcionar la misma documentación.

• Debemos seleccionar un notario.

Para realizar el registro ante el gobierno de México, es necesario que figuren tres personas como titulares o representantes legales de la organización. Esto conlleva ciertos requisitos documentales. El proceso es más sencillo si alguna de las personas es ciudadana mexicana y/o no tiene cónyuge legal. Por favor, contacten a Vonn si están interesados.

Las razones para llevar a cabo este trámite incluyen la protección de la organización y de las personas que la integran. Asimismo, nos permite abrir una cuenta bancaria a nombre de la organización.

Vonn informa que tanto ella como algunos miembros de la junta directiva se han reunido con tres notarios para analizar el proceso.

NUEVOS ASUNTOS:

Reunión (Meetup)

Gretchen informó que la última reunión fue un éxito y resultó muy agradable; de ​​hecho, la ponente disfrutó mucho de la experiencia. Ella sugiere no programar la reunión en la misma semana que la del tercer jueves, ya que organizar dos eventos en una misma semana puede resultar complicado. Stephanie está gestionando la posibilidad de celebrar la reunión en la Exposición de Arte de San Juan Cosalá.

No estoy segura de cuántos avisos de renovación envió Barbara, pero sé que lo hizo porque yo recibí uno.

Gretchen informa que tenemos bastantes renovaciones pendientes y se espera que se formalicen en la reunión de julio.

Barbara estará de vacaciones del 19 de mayo al 28 de junio. Ha documentado detalladamente sus responsabilidades; Gretchen y Vonn se han encargado de cubrirlas. Las cifras que figuran a continuación provienen de Vonn.

Vonn: “No estoy segura de cuántos avisos de renovación envió Barbara, pero sé que lo hizo porque yo recibí uno”.

*** En 2024, ALC no captó miembros entre el 1 de febrero y el 1 de julio, por lo que no habrá muchas renovaciones hasta julio.

Vonn dice que se alegrará cuando Barbara regrese porque “Barbara hace mucho.”.
