OLD BUSINESS: Board Position Realignment

•  A vote was called and unanimously approved to move the board of directors meeting from the last Thursday of the month to the last Monday. This change allows for Lori Hass to fill the secretary roll. She is also still working and has a conflict on Thursdays. Lori also interested in helping Gretchen with finances.

Project - Doggie Fashion Show

Michael McManmon was not present. Claudia reported: The Committee had a meeting on Monday and everyone on the committee attended and was excited. Claudia stated they still need a official date but October 27th is the target date. They have the ad hoc outline, and potential sponsors. It will be an excellent fundraiser. A full report will be posted online. Suggestion to include animal-related art. 

Association Civil (Official status as an entity; burden is on the organization vs. individuals)

• ALC “owners” need to be determined, and then personal documents need to be gathered to submit to the Notario. Identify three to serve in that capacity. Certified birth certificate from birthplace from Secretary of State, passport, and resident or citizen documents, and RFC #. Spouse also needs to provide same documentation. 

• We need to select a Notario 

Membership Incentives - Ideas

• Price difference for paid events for members or non-members 

• Enrichment events, discounts & priority registration. 

• Community business discounts (e.g. Art Connection; could also approach others about providing a discount)

  • How is the welcome membership confirmation email as proof of membership email coming along? Work in progress.

  • We could also create a membership card that gets attached to that email. Barbara & Vonn will work together in formatting the cards via mail merge.

    • Barbara & Vonn scheduled for to work on this at a future date.

Suggestion: Establish an ALC membership table at various events. Perhaps offer water. Would need to identify potential volunteers.

• Key takeaways:

  • Art Market is important to most, followed by meetups and other enrichment activities

  • A good portion are unable to participate in ALC events and activities during the workday.  Many expressed that they are not retired.  We should consider more activities during times when working people can participate.

  • There seems to be interest in some workshops about making art, selling/pricing art, and social media.

  • What other findings stand out to you?

• Who is the 500-peso gift card to Art Connection winner? 

  • Jodi Burke - jodilburke@gmail.com.  Vonn has notified her via email. Arrangement has been made to get it to her. Could be a good photo op.

Ideas:

• Change name for Monthly Meeting, i.e. take “meeting” out of the name. Help people understand the value of attending.

• Offer coffee/pastries before or at the beginning of a meeting using Casa Linda.

• Create a way for people to provide other suggestions based on results.

• Focus on Question #3 – what keeps people from participating.

• Consider another Art Exhibit. Talk further with Mario & Gustavo about partnering with them  for summer/World Cup oriented event(s).

• What else could be offered in the summer – art exhibit for kids offered by ALC. Possibly work with schools. Miguel could be an excellent resource for that.

Volunteers: Anne McFarland  

• Our Volunteer Appreciation Reception was well-attended, and everyone enjoyed a warm and lively gathering. Barbara followed up with members who had confirmed but couldn’t make it, and she received several kind responses in return.

• As we continue building community, we might consider designating dedicated “greeters” at membership meetings and events to help welcome both members and newcomers and strengthen those personal connections.

• Need further support for the Art Market and confirmation of who will be volunteering for what roles in the advance. 

Art Market: Elena Valdivia. 

Vonn, Anne, & Kat walked the March market and connected with all the vendors (I think we missed 3 who were busy with customers).  The vendors were appreciative of the personal outreach and overwhelmingly expressed gratitude for being able to participate.  Several expressed that our market was well-organized and they appreciated that we cared about their experience.  Special appreciation went out to Elena for her organizing and to the helpers for load-in/load-out.   

**** I think we still need more coordination in the art events, more support. For example, I need volunteers for the vendors in the morning, talking about helping to find their spots. I have 2 clipboards, with the map and the names of each vendor and the spot, an easy and more familiar way to keep in touch. The last event had no volunteers to help with parking instructions. ****

Are there any ideas for the last market of the season to end with high energy? Promote it on social media including other Facebook groups.

• Create a brown bag grab table for the raffle

• Raffle ticket for each member and volunteer when they arrive

• Pull a ticket every half hour (10 total), and the winner will pick something from the table.

• Raffle items could be wrapped in a plain brown wrapper, so it will be a total surprise.

• Gift card(s) to the coffee shop

• Gift card(s) to Art Connection

• Donated art from Members – create a call to action for membership meeting to bring small works of art they are willing to donate

• Donated art class from members who are teaching

• A meal with a board member (s) of your choice (ALC to pay)

Moving into next season: Appreciation to CCAR.

CCAR is happy with the event and wants to see it continue next year? Need to submit a formal request.

Appreciation to Elana for building that relationship. Elana wants to continue in that role.

Next steps for meeting w/ CCAR, securing the venue, and arranging classes/demos.

*** I think we will stay in CCAR, can say we are privileged, is the comment of everybody from the other art groups. It is very important to respect and follow the rules of the CCAR. It is a Government  Building, and they have been treating us so well. Also, Anne and I talked with Miguel Angel(CCAR administrator) for another project. He said I like the idea, let's work together this summer, for the next season.***

ASUNTOS PENDIENTES: Reajuste de cargos en la mesa directiva

• Se convocó a votación y se aprobó por unanimidad mover la reunión de la mesa directiva del último jueves del mes al último lunes. Este cambio permite que Lori Hass ocupe el cargo de secretaria. Ella aún trabaja y tiene un conflicto los jueves. Lori también está interesada en ayudar a Gretchen con las finanzas.

Proyecto – Desfile de Moda Canina  

Michael McManmon no estuvo presente. Claudia informó: El comité tuvo una reunión el lunes y todos los miembros asistieron y estaban entusiasmados. Claudia indicó que aún necesitan una fecha oficial, pero el 27 de octubre es la fecha objetivo. Ya cuentan con un esquema ad hoc y posibles patrocinadores. Será una excelente recaudación de fondos. Se publicará un informe completo en línea. Se sugirió incluir arte relacionado con animales.

Asociación Civil (estatus oficial como entidad; la carga recae en la organización vs. individuos)

• Es necesario determinar los “propietarios” de ALC y luego reunir documentos personales para presentarlos al Notario. Identificar a tres personas para servir en esa capacidad. Se requiere acta de nacimiento certificada del lugar de nacimiento emitida por la Secretaría de Estado, pasaporte, documentos de residencia o ciudadanía, y RFC. El cónyuge también debe proporcionar la misma documentación.

• Necesitamos seleccionar un Notario.

Incentivos de Membresía – Ideas  

• Diferencia de precio para eventos de pago entre miembros y no miembros

• Eventos de enriquecimiento, descuentos y registro prioritario

• Descuentos en negocios comunitarios (ej. Art Connection; también se podría acercar a otros para que ofrezcan descuentos)

¿Cómo va el correo electrónico de confirmación de bienvenida como prueba de membresía? Trabajo en progreso.

También podríamos crear una tarjeta de membresía que se adjunte a ese correo. Barbara y Vonn trabajarán juntos en el formato de las tarjetas mediante combinación de correspondencia.

Barbara y Vonn programaron trabajar en esto en una fecha futura.

Sugerencia: Establecer una mesa de membresía de ALC en varios eventos. Quizás ofrecer agua. Sería necesario identificar posibles voluntarios.

Conclusiones clave:

• El Mercado de Arte es importante para la mayoría, seguido de reuniones y otras actividades de enriquecimiento.

• Una buena parte no puede participar en eventos y actividades de ALC durante la jornada laboral. Muchos expresaron que no están jubilados. Deberíamos considerar más actividades en horarios en que las personas que trabajan puedan participar.

• Parece haber interés en algunos talleres sobre creación de arte, venta/precios de arte y redes sociales.

• ¿Qué otros hallazgos destacan para ustedes?

¿Quién es el ganador de la tarjeta de regalo de 500 pesos para Art Connection?

• Jodi Burke – jodilburke@gmail.com. Vonn la ha notificado por correo electrónico. Se ha hecho el arreglo para entregársela. Podría ser una buena oportunidad para una foto.

Ideas:

• Cambiar el nombre de la Reunión Mensual, es decir, quitar la palabra “reunión” del nombre. Ayudar a la gente a entender el valor de asistir.

• Ofrecer café/panecillos antes o al inicio de una reunión usando Casa Linda.

• Crear una manera para que la gente proporcione otras sugerencias basadas en los resultados.

• Enfocarse en la Pregunta #3 – qué impide que la gente participe.

• Considerar otra Exposición de Arte. Hablar más con Mario y Gustavo sobre asociarse con ellos para evento(s) en verano/orientados al Mundial.

• ¿Qué más podría ofrecerse en verano? – exposición de arte para niños ofrecida por ALC. Posiblemente trabajar con escuelas. Miguel podría ser un excelente recurso para eso.

Al editar agendas o actas, por favor hagan sus cambios en un color de texto diferente. Barbara volverá todo a negro antes de enviarlo. Esto nos ayudará a ver fácilmente las revisiones y facilitará la traducción al español.

Mercado de Arte: Elena Valdivia  

Vonn, Anne y Kat recorrieron el mercado de marzo y se conectaron con todos los vendedores (creo que nos faltaron 3 que estaban ocupados con clientes). Los vendedores agradecieron el acercamiento personal y expresaron en gran medida gratitud por poder participar. Varios comentaron que nuestro mercado estaba bien organizado y apreciaron que nos importara su experiencia. Se dio un agradecimiento especial a Elena por su organización y a los ayudantes por la carga y descarga.

**** Creo que aún necesitamos más coordinación en los eventos de arte, más apoyo. Por ejemplo, necesito voluntarios para los vendedores en la mañana, ayudando a encontrar sus lugares. Tengo 2 portapapeles, con el mapa y los nombres de cada vendedor y su lugar, una manera fácil y más familiar de mantener contacto. El último evento no tuvo voluntarios para ayudar con las instrucciones de estacionamiento. ****

¿Hay ideas para que el último mercado de la temporada termine con mucha energía?

• Promocionarlo en redes sociales incluyendo otros grupos de Facebook.

• Crear una mesa de “bolsas sorpresa” para la rifa.

• Boleto de rifa para cada miembro y voluntario al llegar.

• Sacar un boleto cada media hora (10 en total), y el ganador elegirá algo de la mesa.

• Los artículos de la rifa podrían estar envueltos en papel kraft sencillo, para que sea una sorpresa total.

Tarjeta(s) de regalo para la cafetería.

Tarjeta(s) de regalo para Art Connection.

Arte donado por miembros – crear un llamado a la acción en la reunión de membresía para que traigan pequeñas obras de arte que estén dispuestos a donar.

Pasando a la próxima temporada: Agradecimiento a CCAR.  

CCAR está contento con el evento y quiere que continúe el próximo año. ¿Necesitamos presentar una solicitud formal?

Agradecimiento a Elana por construir esa relación. Elana quiere continuar en ese rol.

Próximos pasos para reunirse con CCAR, asegurar el lugar y organizar clases/demostraciones.

*** Creo que nos quedaremos en CCAR, podemos decir que somos privilegiados, es el comentario de todos los otros grupos de arte. Es muy importante respetar y seguir las reglas del CCAR. Es un edificio gubernamental, y nos han tratado muy bien. Además, Anne y yo hablamos con Miguel Ángel (administrador de CCAR) para otro proyecto. Él dijo: me gusta la idea, trabajemos juntos este verano, para la próxima temporada.***
